Records Preservation & Retention
ONDEC issues preservation notices and maintains a log of whether records are retained, produced, and dispositioned in writing.
Preservation is a basic procedural duty. When records are not preserved, independent review becomes impossible. ONDEC replaces uncertainty with dates, artifacts, and documented outcomes.
What Preservation Means
Preservation requires that records subject to notice are not deleted, altered, or overwritten, and that existing backups or archives are retained according to applicable policy or law.
What Resolves a Preservation Notice
A preservation notice is considered resolved only when:
- Written confirmation of retention is provided
- Requested records are produced or formally dispositioned in writing
Submitting Documentation
ONDEC may receive documentation for verification and archival purposes. Submission does not guarantee action, publication, or response.
All submitted materials are evaluated for authenticity, scope, and relevance to documented process.
Right of Reply and Corrections
Entities may submit documented corrections or clarifications related to preserved records.
Verified corrections are appended with a timestamp. Original entries are not removed unless the underlying record is formally withdrawn or corrected by the issuing authority.
